Privacy

Last updated: 24 September 2026

This policy explains what personal data the website shooms.net handles, why, and what rights you have. It takes effect on 24 September 2026.

The short version

The site has no analytics, no advertising, no tracking pixels, no third-party scripts, no accounts and no payments — your browser talks only to shooms.net. It sets one cookie, which keeps the site in the language of the pages you view. Our hosting provider keeps standard server logs. If you contact us — through the forms on the site, by email or by phone — we use what you send only to answer you.

Who we are

The controller of your personal data is LIMITED LIABILITY COMPANY “DEFINE SOLUTIONS”, registered in Ukraine under EDRPOU code 42254167, with its address at 7/410 Hazova Street, Lviv 79019, Ukraine ("we", "us").

We make SHOOMS — software and hardware that runs clay-target shooting ranges (Compak Sporting, trap and skeet): target release, scoring, members and tournaments. This website presents SHOOMS. The product itself is sold under a separate agreement.

For anything about this policy or your data, write to support@shooms.net. You can also reach us at hello@shooms.net (sales) or +380 63 245 0114.

What this policy covers

This policy covers shooms.net in all its language versions, and the forms, emails and calls through which you contact us. It does not cover:

  • the SHOOMS product. Data about shooters and members that a club manages in SHOOMS is covered by the SHOOMS product privacy notice and the data-processing agreement with the club;
  • Instagram, Facebook and YouTube. Our site only links to our accounts there, without passing on which page you came from; once you follow a link, their own policies apply.

What we don't do

Your browser contacts only shooms.net. There are no analytics, tag managers, tracking pixels, advertising, embedded videos or maps, chat widgets, third-party scripts or fonts loaded from other companies. There are no accounts, logins, payments, newsletters or comments on the site. We don't sell personal data, we don't build profiles, and we don't make automated decisions about you.

What we collect and why

Server logs

When you open a page, our hosting provider records standard server logs: your IP address, your browser's user agent, the URL you requested, the response status and the time. We need them to keep the site secure and working — for example, to spot attacks and fix errors. We don't use them to profile you.

Legal basis: our legitimate interest in running a secure website (Art. 6(1)(f) GDPR). Kept for: 30 days.

The contact form

The contact form ("See SHOOMS on your range.") asks what your message is about — "Book a demo", "Get a hardware quote" or "Partnership / federation" — and for your name, range or club name, email, phone (optional) and a message.

When you press the button, your browser sends these details over an encrypted HTTPS connection to shooms.net. Our server passes them straight to our email provider as a single email to our mailbox hello@shooms.net, with your email address as the reply address. The site itself stores nothing, and the contents of the form are not logged: the request appears in the server logs described above like any other request, without what you wrote. The confirmation you see afterwards means the email has been sent.

To limit repeated submissions, the server keeps your IP address in its memory for up to 15 minutes. Legal basis: our legitimate interest in protecting the forms from abuse (Art. 6(1)(f) GDPR).

Documentation requests

The Documentation page offers user manuals and quick-start guides as PDF downloads, with no registration. A download is logged like any other page visit; nothing else is collected.

Administrator, installer and service documents are not published. The "Request admin documentation" form on the Documentation page asks for your name, range or club, your role at the range, phone, email and devices installed. It works in the same way as the contact form, but the email goes to support@shooms.net. We use these details to confirm that you are a client before we send the documents.

Emails and calls

When you write to hello@, support@ or social@shooms.net, we receive your message, your email address and anything else you include. When you call +380 63 245 0114, we receive your phone number and what you tell us.

How we use enquiry data, and on what basis

We use what you send or tell us to answer you: arrange a demo, prepare a quote or offer, handle a partnership request, confirm that you are a client and send documentation, and follow up.

Legal basis: steps you ask us to take before entering into a contract (Art. 6(1)(b) GDPR), and our legitimate interest in answering enquiries (Art. 6(1)(f) GDPR) — for example, when you write on behalf of a club.

Kept for: 24 months after our last contact, then deleted, unless a contract follows. If it does, the correspondence becomes part of our customer records under that contract.

Giving us your details is voluntary, but without a way to contact you we can't reply.

A note on email: form submissions reach our server over HTTPS and are then delivered to our mailbox as an email; emails you write to us directly travel through your email provider and ours. Email isn't end-to-end encrypted, so please don't send passwords or other sensitive information through the forms or by email.

Who handles data for us

We use two processors, each under its data-processing terms:

  • Hosting and form handling: Google Cloud (Google Cloud EMEA Limited and Google LLC) — Firebase App Hosting, region europe-west4 (Netherlands). It serves the pages through Google's network and passes form submissions on to our email provider.
  • Email: Namecheap Private Email (Namecheap, Inc., USA), which receives form submissions and the emails you send us.

We don't share your data with anyone else unless the law requires it.

Transfers outside the EEA

The website runs in the Netherlands. Google may process data, such as server logs and form submissions on their way to our mailbox, in other countries, including the United States — for example, to deliver pages through its global network, or for support and security. These transfers are covered by the EU–US Data Privacy Framework, under which Google LLC is certified, and by the EU standard contractual clauses in Google's terms.

Our email provider, Namecheap, Inc., is based in the United States and may store and process our email there. These transfers are covered by the EU standard contractual clauses included in Namecheap's data-processing addendum.

We are based in Ukraine, which does not have an EU adequacy decision. When you contact us, your data reaches us in Ukraine, and we protect it to the GDPR standards described in this policy.

Your rights

Under the GDPR you can:

  • get a copy of your data (access);
  • have it corrected (rectification);
  • have it deleted (erasure);
  • have its use limited (restriction);
  • receive the data you gave us in a machine-readable format (portability);
  • object to processing based on our legitimate interest (objection);
  • complain to a supervisory authority.

To use any of these rights, email support@shooms.net. It's free. We reply within one month; complex requests may need up to two more months, and we'll tell you if so. We may ask you to confirm your identity first.

You can complain to the data-protection authority in the EU/EEA country where you live or work, or where you think the problem happened. We'd appreciate the chance to put things right first, but you don't have to contact us before complaining.

Security

The whole site, including the forms, is served over encrypted HTTPS connections, and it doesn't store your enquiries — they reach us by email.

Children

The site is for businesses. We don't knowingly collect data from anyone under 16. If you think a child has sent us their data, tell us and we'll delete it.

Visitors from outside the EU

United Kingdom

UK visitors have the same rights under the UK GDPR and can complain to the Information Commissioner's Office (ICO, ico.org.uk).

Switzerland

We handle Swiss visitors' data in the same way under the revised Federal Act on Data Protection (FADP); complaints go to the Federal Data Protection and Information Commissioner (FDPIC, edoeb.admin.ch).

Notice for US residents

Our website is for businesses, and US state privacy laws — including those of California (CCPA/CPRA), Virginia, Colorado, Connecticut, Utah, Texas and Oregon — may not apply to us. We give this notice and these rights anyway.

In the last 12 months we collected identifiers and contact details (name, email address, phone number) and professional details (range or club, role) from your enquiries through the site's forms, by email or by phone, and internet activity (IP address, browser user agent, pages requested, time) in server logs and, briefly, to limit repeated form submissions. Sources: you, and our server logs. Purposes: answering enquiries, and keeping the site secure and working. We disclose this information only to our hosting and email providers, who process it on our behalf. Retention is described above.

We do not sell or share personal information and do not use it for targeted advertising, so there is no "Do Not Sell or Share" link. We do not collect sensitive personal information.

You have the right to know and access the personal information we hold about you, to have it deleted or corrected, and not to be discriminated against for using these rights. Email support@shooms.net; you can also act through an authorised agent. We'll verify your request by email and reply within 45 days. If we decline a request, you can appeal by replying to our decision; if you're unhappy with the outcome, you can contact your state attorney general.

Because we don't sell or share personal information, a Global Privacy Control signal changes nothing on our side, but we treat it as a valid opt-out request.

Ukraine

Under the Law of Ukraine "On Personal Data Protection" No. 2297-VI, we are the owner of your personal data — that law's term for the controller. You have the rights set out in Article 8 of that law and can complain to the Ukrainian Parliament Commissioner for Human Rights (ombudsman.gov.ua) or to a court.

Changes to this policy

When something changes, we'll update this page and the "Last updated" date. If we ever add analytics, marketing cookies or embedded content from other companies, such as videos, we'll update this policy and ask for your consent before they go live.
